Estimating and Scheduling

The key is not to prioritise what’s on your schedule, but to schedule your priorities.

Think of the schedule as a tool to be more effective in dealing with people first, then in terms of efficiency in dealing with time.

Objectives:

  • Give participants practical example as to how they can estimate and schedule the work that is needed to progressively deliver project products. We will work specific scheduling methods, techniques and models and build competences on these.
  • Give project & team managers the basic tools and means to communicate realistic schedules to project stakeholders, and maintain an open dialog.
  • Enable participants to deliver their projects within agreed tolerances in the future
  • Enable participants to identify the shortest sequence of activities to deliver the project product or service.
  • Based on the knowledge gained on this course participants will have a solid foundation on which to continue building their scheduling knowledge.
  • Schedule the priorities based on available human resources and activity dependencies
  • Ability to organise and execute around balanced priorities
  • Give a snapshot overview of the project plan.
  • Highlight the interdependencies between User Scenarios & Acceptance Tests/Activities as well as the people/skill groups required to carry out the work.
  • Subordinates the schedule to people.

What does a well-formed schedule do?

What can we use a well-formed schedule for?

  • Identify the shortest sequence of activities to deliver the project product or service.
  • As a guide for what work must be done, enable you to schedule your priorities.
  • To find an optimal delivery time for the project product and to communicate to stakeholders when they can expect to start a particular activity.
  • Planning of individual timetables for project members
  • Enabling What-If analysis
  • Early detection of risk or problems
  • Reducing uncertainty
  • Supporting better decision making
  • Establishing trust
  • Manage uncertainty more effectively.
  • This process has the additional benefit of enabling individuals to understand what is expected of them and when it is expected. This is an essential factor for individual motivation and retention.

Period 1: (09:00 – 10:00)

Introduction and overview to the practice of Estimating & Scheduling work for projects based on product based planning.

Estimating

We will cover the following three areas to give participants an overview to how they can carry out the estimating process under different circumstances.

  • Estimating Model
  • Estimating Techniques
  • Group Estimating Exercise

Period 2 (10:15 – 12:00)

Scheduling

We will cover the four topics mentioned below to give participants a foundation on which to implement schedules.

  • Preparing the requirements product breakdown structure to create a product work breakdown structure that can be used for scheduling.
  • Scheduling Methods
  • Scheduling Techniques & Tools
  • Scheduling Model 

Period 3 & 4 (13:00 – 16:00)

Exercises

  • Set up Microsoft Project
  • Create a Schedule
  • Baseline the schedule
  • Simulate work scenarios with
    • Rolling wave planning
    • Schedule compression techniques to get the project back within time tolerances

A few things to think about:

This course is designed as a follow on course for the on “Requirements Development based on Product Based Planning”. Participants will benefit from doing that course first.

The instructor will be demonstrating the development of schedules using MS Project 2010.
